Position Summary
United Talent Staffing is seeking a Facilities Coordinator (Contractor) to coordinate and support facility operations across multiple locations, helping ensure safe, functional, and well-maintained work environments.
The Facilities Coordinator will serve as a primary point of contact for routine facility requests, vendor coordination, maintenance scheduling, workplace services, and facilities-related administrative support. This individual will work closely with site leadership, employees, contractors, and service providers to address facility needs, monitor vendor performance, and support organizational standards.
Duties & Responsibilities

Coordinate day-to-day facility operations across multiple office, operational, and/or field locations.

Receive, prioritize, and track facility-related work orders, maintenance requests, and repair activities through completion.

Schedule and coordinate preventive maintenance services, inspections, and facility improvement projects.

Serve as a primary liaison between employees, site leaders, landlords, and third-party vendors for facility-related matters.

Monitor vendor performance and ensure contracted services are completed according to established service levels and timelines.

Conduct routine facility assessments and inspections to identify maintenance, safety, and operational concerns.

Maintain facility records, service agreements, equipment inventories, floor plans, and compliance documentation.

Assist with budgeting activities by tracking facility expenses, purchase orders, invoices, and service contracts.

Support space planning, office moves, furniture coordination, and workplace optimization initiatives across locations.

Help ensure facilities maintain compliance with applicable safety standards, environmental requirements, and company policies.

Coordinate emergency repairs and assist with business continuity and facility emergency response activities as needed.

Provide regular updates and reports regarding facility performance, maintenance activities, and open work orders.
Required Skills & Abilities

Strong facilities coordination and vendor management skills.

Knowledge of building systems, preventive maintenance practices, and workplace operations.

Proficiency with Microsoft Office Suite, including Excel, Outlook, Word, and Teams.

Experience with work order management or computerized maintenance management systems (CMMS).

Strong project coordination and organizational skills.

Excellent written and verbal communication skills.

Ability to manage multiple priorities and deadlines across several locations simultaneously.

Ability to review contracts, invoices, and facility-related documentation.

Education & Experience

High school diploma or equivalent required.

2–3 years of experience in facilities coordination, property management, workplace services, building operations, or a related field.

Experience supporting multiple locations and coordinating external vendors is required.

Travel Requirements
This position requires approximately 70% work-related travel, which may include some overnight travel to other locations. Candidates must have a dependable personal vehicle for required travel. Mileage will be reimbursed.
